The reason for the job
In order to comply with legal obligations and support AU activities, it is responsible for maintaining financial, accounting, administrative, and treasury services.
Principal Purposes
• Supports the completion of various clerical tasks and helps with the creation of financial reports;
• frequent aging study of travel claims and imprest to keep them current and clean; • settlement of imprest, travel claims, and other advancements for programs supported by partners;
• Prepare answers to questions from internal and external audits and help put audit findings into practice;
Analyzing and uploading bank data from prepared Excel files onto the SAP Bank Module; posting journal entries into the SAP system and balancing interoffice accounts;
• Creating bank reconciliation reports; investigating and following up on all outstanding items on bank reconciliation statement reports; monitoring periodic currency revaluation procedures on the SAP system; processing and verifying all bank payments and making sure the supporting documentation is accurate and complete; processing monthly payroll and associated staff emoluments; checking internal and external audit reports regarding any reconciliation issues raised in reports;
• Maintain and update the office’s financial records;
• Keep current files for service providers and contracts;
• Record monthly exchange and bank charges on the various payments made through local and foreign bank accounts; • Modify the local bank balance at the end of each month;
• Maintain updated personnel data (staff contract, leave management, up-to-date personnel information, etc.);
• Get the financial statements ready for the audit; Provide advice on financial and administrative policies, their implementation, and associated office procedures in compliance with the Financial Rules and Regulations, Staff Regulations and Rules, and other circulars; Prepare financial reports for the Supervisor’s review;
Respond to audits and other inquiries with advice and corrective measures to guarantee compliance with the Organization’s Financial Rules and Regulations, Staff Rules, and administrative instructions and circulars;
Maintain accounting databases by making sure that transactions are posted into the accounting software on time and that backups are processed; analyze all financial supporting documents that are received and make sure they are filed properly; ensure that all receipts from suppliers and service providers that the department pays are submitted, collected, and filed on time; protect all vouchers and supporting documentation for examination by internal and external auditors; and carry out any other tasks that may be delegated.
Particular Duties
• Ensure that accurate and comprehensive accounting, reporting, and internal control systems are operating and that all pertinent records are maintained accurately; • Support the creation and maintenance of accurate financial records in accordance with the AU Financial Rules and Regulations, approved accounting standards, and guidelines;
• Help with the Finance department’s daily tasks, such as filing, creating reports, reviewing the budget, etc.
Prepare financial reports and statements for management and donors to review, along with the certification of general expenses; process and confirm payments to all suppliers and make sure the supporting documentation is accurate and comprehensive; Organize the procurement process to guarantee that the project receives effective and high-quality services in compliance with AU policies and procedures;
Establish administrative guidelines and practices that promote effective service delivery; create financial management reports to monitor performance in relation to the budget and inform management of the findings.• Prepare monthly bank reconciliations and keep responsive and effective cash flow systems.
• Keep project financial data up to date in the SAP system.
Academic prerequisites and pertinent work experience
• At least two years of work experience and a Bachelor of Science in Accounting or Finance from an accredited university Alternatively, you could have a minimum of three years of work experience and a diploma (Bac+2) in accounting or finance from an accredited institution.
• It is advantageous to have prior experience working with multinational organizations.

Strong oral and written communication skills; familiarity with regional and international policy processes and policy analysis in the pertinent field; diligence in meeting deadlines and completing tasks; proficiency in one of the AU working languages; fluency in another AU language is an added benefit

APPOINTMENT TENURE:
• The first term of the appointment will be one (1) year, during which the first three (3) months will be probationary. It will be renewed based on performance and funding availability.

REMUNERATION: The post entails an annual lump sum payment of US$55,174.63 (GSA5 Step 5), which includes all allowances for workers hired from outside, and US$22,656.97, which includes all allowances for staff hired locally by the African Union Commission.
